The Oxford Greenbelt Run is organised by 4th Oxford Scout Group, registered charity number 267799. The Group is the data controller for anything you give us through this website. You can reach us at hello@oxfordgreenbelt.run.
The mailing list
What we collect. Your email address, your first name if you give it, which of running, volunteering and sponsoring you ticked, and the date and time you signed up and confirmed.
Why. To send you news about the Oxford Greenbelt Run: the date, when entries open, calls for volunteers and a note after the event. That is a handful of emails a year. We do not use the list for anything else.
Our lawful basis is your consent. You give it by ticking the box on the form and then clicking the link in the confirmation email. If you do not click the link, your details are deleted automatically after seven days and you are never added to the list.
Changing your mind. Every email has an unsubscribe link, and it works straight away. You can also email us and we will remove you.
Who sees it. The volunteers who run the event's communications. The list is stored with our email provider, Brevo (Sendinblue SAS, France), which sends the emails on our behalf, and the sign-up form runs on Cloudflare, which hosts this website. Both act only on our instructions. We do not sell, swap or share the list with anyone else, including sponsors.
How long we keep it. Until you unsubscribe, or until we stop organising the run. We remove addresses that bounce, and we will ask you to reconfirm if we have not held the event for two years.
Entering the race
Race entries are taken through a separate entry service, which has its own privacy notice and collects the details we need to run the event safely, such as your name, age category and an emergency contact. Entering the race does not add you to this mailing list, and joining the list does not enter you in the race.
Photographs
We take photographs at the event and use some of them on this website and in publicity for the run. If you appear in a photo here and would like it removed, email us and we will take it down. We do not publish names alongside photographs.
This website
The site sets no cookies and has no advertising or analytics trackers. The route map loads map images from OpenStreetMap, which means your browser contacts their servers, as it would for any embedded map. Our host, Cloudflare, keeps standard short-term server logs to keep the site secure.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct or delete it, and withdraw your consent at any time. Email us and we will reply within a month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.
